Position Overview: The Administrative Assistant for ACS, Personal Ministries, and Sabbath School plays a vital role in coordinating activities, facilitating communication, and managing essential administrative tasks under the guidance of the Director. This position ensures seamless operations, promotes alignment within the ministries, and fosters meaningful connections with team members and external partners.
Key Responsibilities
Organization & Coordination
Facilitate effective communication and collaboration between the Director and Regional Coordinators for ACS, Personal Ministries, and Sabbath School.
Assist with scheduling, creating agendas, and managing meeting logistics to ensure preparation and follow-up on essential action items.
Meeting Support
Prepare for meetings by organizing agendas, logistics, and resources.
Take accurate, detailed minutes to capture critical discussions, decisions, and actionable steps.
Documentation Management
Maintain and organize ministry documents, prioritizing confidentiality and version control.
Ensure accessible, up-to-date records for ACS, Personal Ministries, and Sabbath School.
Communication & Liaison: Serve as a communication link between the Director and team members to promote timely and transparent information sharing.
Event & Project Support
Assist in planning and executing events by managing logistical aspects and coordinating communication.
Provide regular updates to the Director on project progress and event preparations.
Administrative Collaboration: Support the Director and Regional Coordinators in various initiatives to enhance productivity and ministry impact.
Travel Expectations: Occasional travel may be required to support events, meetings, and special projects within the Southern New England Conference. Travel plans will be coordinated in advance with the Director, and necessary expenses will be reimbursed according to organizational policies.
Physical Requirements:Â
Ability to sit, stand, and walk for extended periods.
Frequent use of hands and fingers for typing, writing, and handling office supplies.
Occasional lifting or carrying of items up to 20 pounds.
Visual acuity to read computer screens, documents, and spreadsheets.
Clear verbal communication for phone calls and in-person interactions.
Regular use of standard office equipment, such as computers, printers, and copiers.
Qualifications & Skills:Â
Education:
A high school diploma or equivalent is required; a Bachelor’s degree in a relevant field is preferred.
Certifications in administration or office management are a plus.
Experience: Prior administrative experience is preferred, with specific qualifications evaluated by the Director based on demonstrated skills and competencies.
